Glow Walk

By registering for and taking part in the Glow Walk, participants agree to these Terms and Conditions.

1. Eligibility and Registration

1. Participants must register for the Event in advance and provide accurate information where requested.
2. Participants under the age of 18 must participate with a responsible adult.
3. Autism NI reserves the right to refuse or cancel a registration where it considers this necessary for safety, legal, insurance or other legitimate reasons.
4. Registration is personal to the participant and may not be transferred to another person without the Autism NI's prior approval.

2. Participation and Fitness

1. Participants are responsible for ensuring that they are physically able to complete the walk.
2. The Glow Walk involves walking outdoors at night and will involve a route that is inclined. The walk is inclusive to everyone taking part and prams/wheelchairs can access the route. 
3. Participants should consider their own health and fitness before taking part and seek appropriate medical advice if they have any concerns.
4. Participants must immediately notify a member of Autism NI or a volunteer if they become unwell, injured or unable to continue.
5. Participants must not take part while under the influence of alcohol or drugs where doing so could compromise their own safety or the safety of others.

3. Night-Time Safety

1. Participants must follow all instructions given by Autism NI staff, volunteers, and emergency services.
2. Participants should wear suitable clothing and footwear and are strongly encouraged to wear or carry reflective or high-visibility clothing or accessories.
3. The route will be well lit, but it is advised to carry a suitable torch or headlamp and to ensure that they have sufficient lighting.
4. Participants must use designated paths, crossings and other areas specified by Autism NI and must not take shortcuts or deviate from the official route unless instructed to do so.
5. Autism NI may stop or alter the Event if it considers conditions unsafe.

4. Children and Vulnerable Participants

1. Children must be accompanied and supervised by a responsible adult in accordance with the Event's stated requirements.
2. Parents or guardians remain responsible for children in their care throughout the Event.
3. Autism NI reserves the right to require a participant to withdraw from the Event where appropriate supervision or safeguarding arrangements are not in place.

5. Personal Belongings

Participants are responsible for their own personal belongings throughout the Event.

Autism NI accepts no responsibility for loss, theft or damage to personal belongings except where such liability cannot legally be excluded.

6. Medical and Emergency Assistance

1. Participants consent to receiving reasonable first aid or emergency assistance if required during the Event.
2. Where necessary, Autism NI may contact the emergency services or a participant's emergency contact.
3. Participants are responsible for carrying any medication or personal medical equipment they may require.

7. Route Changes and Cancellation

1. Autism NI reserves the right to change the Event route, start or finish location, timings or arrangements where reasonably necessary.
2. The Event may be postponed, suspended or cancelled because of severe weather, public safety concerns, emergency situations, instructions from authorities, insufficient resources or other circumstances beyond Autism NI’s reasonable control.
3. Where the Event is cancelled or postponed, Autism NI will provide participants with reasonable information about the revised arrangements.

8. Fundraising and Sponsorship

1. Participants are responsible for ensuring that money they collect or pledge for the Event is submitted to Autism NI before the event or on the day of the event.  
2. Participants must not make misleading claims about the charity, the Event or how donations will be used.
3. Participants must comply with any fundraising guidance provided by Autism NI.
4. Any sponsorship or fundraising activity must comply with applicable laws and regulations.

9. Photography and Filming

1. Photography and filming may take place during the Event for promotional, fundraising, social media, press or archival purposes.
2. By participating, you acknowledge that you may appear incidentally in photographs or recordings taken during the Event.
3. Where Autism NI intends to use an identifiable participant's image in a specific promotional campaign, it may seek additional consent where appropriate.
4. Participants who do not wish to be photographed or filmed should notify Autism NI before or during the Event and follow any instructions provided.

10. Personal Data

1. Personal information collected during registration will be handled in accordance with Autism NI’s privacy notice and applicable data protection law.
2. Participant’s details may be used by Autism NI for Event administration, fundraising administration, providing details on upcoming events, and training courses, and news from Autism NI.
3. Autism NI will never sell your personal data to any third party organisations.

11. Participant Conduct

Participants must behave responsibly and respectfully towards other participants, volunteers, members of the public and Event staff.

Autism NI will not tolerate threatening, abusive, discriminatory or dangerous behaviour.

Any participant whose behaviour creates a safety risk or seriously disrupts the Event may be required to leave and may be prevented from taking part in future Events.

12. Acceptance of These Terms

By registering for the Event, the participant confirms that they have read, understood and agree to these Terms and Conditions.

Where a participant is under 18, their parent or legal guardian confirms acceptance of these Terms and Conditions on their behalf where required.
